A customer on a framework agreement asks what they can order, but your team has to reconcile contract terms with product and price records before replying. Automating quoting starts by connecting those records, so your team can prepare contract-grounded drafts with less searching and fewer manual handoffs.

A contract ontology is a shared business model that connects customers, agreements, products, price terms and the people responsible for decisions. It gives quoting software a consistent way to find applicable terms across your existing systems.

What does a contract ontology give your sales team?

A contract ontology makes entitlement and pricing checks reusable instead of something each account manager reconstructs for every request. FAIS's approach is to model those business relationships and connect workflow automation to them, so your existing ERP, CRM and contract files support a shared quoting process.

The practical benefits come from specific connections:

  • Less searching. Link the customer and requested item to the applicable agreement and source clause, so the reviewer can inspect the basis of a draft.
  • More consistent checks. Record which price terms and dates apply, then configure quote tools to validate them before review.
  • Less duplicate entry. Connect approved quote data to the receiving system rather than asking staff to copy it again.
  • Reusable automation. Let future renewal reminders and order-intake checks use the same agreement relationships, with suitable connectors and permissions.

The ontology supplies shared meaning; connectors retrieve records and carry out permitted actions. Clause citations also need retrieval and validation against the correct contract version. FAIS would build these capabilities into the workflow, rather than assume that structuring an agreement makes them automatic.

Give customers faster access to agreed products and prices

Agreement-specific access lets customers find available products and negotiated prices without asking account teams to reconstruct the terms each time. A documented example illustrates the value of that change: in its 15 October 2026 customer story, SAP describes Ericsson customers returning under multi-year framework agreements to ask which products, configurations and prices were available.

Account representatives previously gathered information, checked terms and prepared quotes manually. SAP reports that some quotes took more than 2 weeks. Ericsson introduced agreement-specific storefronts using SAP Commerce Cloud, allowing customers to browse products, generate quotes and place orders. According to the same report, many of those requests could then be completed in minutes or seconds.

That reported improvement concerns digital commerce, not a demonstrated agent result. Ericsson subsequently began evaluating agents that analyze requests and prepare proposed quotes for human review, with employees retaining oversight and decision-making.

The practical starting point is better access to applicable contract terms. You can establish that foundation within a bounded quoting process and build toward agent-assisted preparation without replacing your current systems.

How would the work change at a connector maker?

Consider an illustrative Taiwan connector manufacturer supplying a machine builder under a multi-year framework agreement.

Before. The buyer requests 2 connector series, including a new cable length. The account manager finds the agreement, checks product coverage and the applicable price schedule, then asks the sales director to decide how to handle the new length. Preparing the quote depends on assembling those answers manually.

After. A connected workflow retrieves the agreement and product records. An agent prepares a draft with references to the relevant clauses and price terms. The new length has no matching entitlement in the retrieved records, so that line remains unresolved and goes to the sales director, its recorded approval owner.

The sales director determines whether the item is covered or needs separately approved terms. The account manager checks the draft and sends it only after the exception is resolved. Software prepares the routine information; the responsible people decide the commercial exception and release the quote.

Which agreement rules should your software check?

Agreement rules must reflect the contract and the system implementing it. Microsoft's Dynamics 365 Supply Chain Management documentation, updated 27 April 2026, states that sales-agreement prices and discounts override trade-agreement pricing. A sales order qualifies for agreement terms when its requested ship date falls within the agreement's validity period.

Those are concrete implementation rules, not universal rules to impose on every contract. For each draft line, retain the agreement version, product relationship, applicable price term, relevant dates and exception owner. Dynamics 365 also stores confirmed agreement versions in history; retaining the version behind a draft makes its basis easier to review.

Where should you start this quarter?

A useful starting point is 1 product family with active framework agreements. Map its products and terms, connect the necessary records, and test draft quotes against previously reviewed examples. Include an expired term, an unmatched item and a price exception in those tests.

Measure request-to-reviewed-quote time and the share of drafts returned for contract errors. Use those observations to decide whether the workflow is ready to expand, rather than assume savings in advance.

FAIS builds foundational business ontologies and custom workflow automation. For quoting, our approach would connect agreement relationships to draft preparation and review rules. If your team repeatedly reconstructs agreement terms before answering customers, the implementation question is which relationships and checks to make reusable first. Discussing your quoting process gives that work a concrete scope: the records to connect, the drafts to prepare and the decisions your people retain.

Questions operators ask

A contract ontology is a shared business model that connects customers, agreements, products, price terms and decision owners so quoting workflows can find and apply relevant terms.

How do you start automating quotes under framework agreements?

Start with one product family and its active agreements. Connect customer, product and price records, configure agreement checks, and prepare drafts for human review. Test expired terms, unmatched items and price exceptions against previously reviewed examples before expanding.

What should happen when a requested item has no matching agreement entitlement?

Keep that quote line unresolved and route it to the recorded approval owner. They determine whether the item is covered or needs separately approved terms. The account manager releases the quote only after the exception is resolved.
