At the end of a long shift, your supervisor still scrolls through chat groups, the ERP and the maintenance log to piece together what the next shift needs to know. Build the handover from records your team already keeps, and that time returns to the floor while the next shift starts better informed.
You can draft a dependable shift handover from existing work records without supervisors writing everything twice. It takes a defined minimum set of records, an AI draft that links every line to its source job, incident or temporary measure, and a supervisor who sets priorities and approves safety decisions.
A record-based shift handover is a note drafted from the jobs, equipment incidents, temporary measures and owners logged during the shift, then signed off by the outgoing supervisor.
What does a record-based handover give your plant?
- Less re-entry. Supervisors confirm what work orders and incident logs hold instead of retyping it.
- Fewer dropped items. Rules list every open job and active temporary measure from the records, even when nobody remembers them at 6 a.m.
- A faster start. Each line links to its source, so the next lead reads the detail instead of phoning around.
- A reusable foundation. The same mapped records can feed maintenance reports, the morning meeting and later agents.
Shared definitions make all four possible. Functional AI Solutions (FAIS) models your shifts, jobs, machines, incidents, temporary measures and people as a business ontology: what each one is, how they relate and who may change what. The draft reads one model, not several screens, and the next automation reuses it.
How Williams turned work records into a daily summary
Diginomica reported from Atlassian's Team '26 Europe conference on 14 October 2026 that the Atlassian Williams F1 Team sets up its garage 24 times a season in 21 countries. Staff once used checklists and notepads, then summarised each day in hotel rooms after 12 to 14 hours at the track. Atlassian, the team's title partner, redesigned that flow with Jira and Rovo AI: jobs are now assigned automatically, and Andrew Boyagi, Atlassian's Customer CTO, says incidents are logged in Jira as they happen while an embedded Rovo agent summarises progress and the next day's focus.
科勝科技 describes its Senwaiy SCT system turning SCADA alarms into handover items with an owner and a deadline, and cites a large Taiwan petrochemical plant as a customer.
Both examples share one condition: a summary is only as good as the work recorded where it happened.
How does AI prepare the handover while supervisors decide?
The UK Health and Safety Executive reports that many accidents have involved communication failures at shift handover, most during planned maintenance work. Effective handover, it says, has three stages: the outgoing team prepares, both teams exchange information, and the incoming team cross-checks. AI belongs in the first stage, giving HSE's recommended face-to-face conversation a written basis.
In a JAMA Network Open study published 3 December 2024, a large language model drafted emergency handoff notes from 1,600 patient records. Three emergency physicians rated 50 AI notes 4.04 out of 5 for usefulness and 4.06 for safety, against 4.36 and 4.50 for physician-written notes. None was classed as a critical safety risk.
The AI notes were incorrect more often (9.6% against 2.0%), though all five hallucinations were rated mild or no safety risk. Incompleteness and faulty logic mattered more: reviewers judged they could lead to a level 2 safety event in 8.7% and 7.3% of their ratings, against 0% for physician notes.
So split the work: rules pull every open record into the draft, the model writes the summary, and the supervisor checks the reasoning and decides. Atlassian's agent automation suits a cautious start: write actions are off by default and an audit log records what the agent did.
Before and after in one machining cell
Consider, as an illustrative scenario, a Taiwan manufacturer running a CNC machining cell across two shifts.
| Handover item | Before | After |
|---|---|---|
| Open work orders | Retyped from the ERP | Pulled from the ERP with status and owner |
| Spindle vibration on machine 7 | Mentioned in the LINE group | Linked to its maintenance record and technician |
| Temporary reduced feed rate | Remembered, or not | Listed until recorded as removed |
| Next-shift priorities | Written from memory | Proposed by the draft, set by the supervisor |
"Open" must mean the same in the ERP, maintenance log and quality system, and every temporary measure needs an owner and a removal condition. FAIS builds that ontology and connects the handover workflow to it; safety decisions and priorities stay with the supervisor.
What should a one-team pilot measure?
Over two weeks, compare drafts with current handovers on:
- preparation time per handover
- open items in the records but missing from the handover
- corrections supervisors make to each draft
To start, set last week's handovers from one production team beside the job, incident and maintenance records behind them, and mark which lines trace to a record. The gaps define your minimum record set and the first piece of your ontology. Then talk with FAIS about connecting that team's handover so the rest of the plant can reuse it.

Questions operators ask
An AI-drafted shift handover is a note built from the jobs, equipment incidents, temporary measures and owners logged during the shift. Each line links to its source record, and the outgoing supervisor signs it off.
Does an AI-drafted handover replace the supervisor?
No. Rules pull every open record into the draft and the model writes the summary. The supervisor checks the reasoning, sets priorities and approves safety decisions. The draft gives the face-to-face handover conversation a written basis.
How should a plant pilot record-based shift handovers?
Start with one production team for two weeks. Compare AI drafts with current handovers on preparation time, on open items that are in the records but missing from the handover, and on the corrections supervisors make to each draft.
